Rules & Policies 

Age Divisions:  Adults may dance their “true” age category, as well as one younger. Juniors may dance their “true” age category, and one older. Youths may also dance in the adult A1 category, if they choose, but must pay adult entry fee into Ballroom.

Dance Levels:  Competitors (age 16 and over) are allowed to dance at their level of proficiency, and two consecutive levels above. Newcomer category is reserved for students with less than approximately 50 lessons of training. Please refer to the new NDCA closed syllabus requirements. There will be an Invigilator at all closed events. Teachers are NOT allowed to compete with one of his/her students against another of his/her students in the same style, dance level, and age category. 

Pro/Am A&B Championships:  Uni-Sex events, closed syllabus ONLY. 
A student may NOT compete in two consecutive championship divisions in the same style/division.

Pro/Am Open A&B Overall Scholarships:  Uni-Sex events open to all competitors, with no syllabus restrictions.  All competitors MUST enter a minimum of 4 single dances (in the same style) in order to qualify to enter the Scholarship Division. A student may not enter both A&B scholarships in the same style.

Schedule:  The NYDF 2011 Heat List will be online at least five days before the event. In accordance with the NDCA rules, please be in the Ballroom - ready to dance - 30 minutes prior to your scheduled events.

Costuming:  NDCA Rules will be followed throughout the competition for both adult AND junior competitors. Please note there have been many changes to costuming rules (especially with regard to junior competitors) which are now in effect as of 2010.  The NYDF must follow these guidelines in order to be in accordance with NDCA rules. These new rules will be in effect and enforced throughout the competition.  The Organizers strongly urge all parents and teachers to familiarize themselves fully with all new rules in order to avoid any disappointment if disqualifications or penalties would become necessary.

Entry Deadlines/Early Bird Special:  All entries must be postmarked, and paid in full, by January 14, 2012.  Any additional entries after January 14th will be subject to current pricing at the time of entry. Any vouchers being redeemed must also be presented at the same time for proper credit.  Final entry deadline:  the deadline for all entries is February 10, 2012. Entries received after this date are subject to a $20 late processing fee, and are accepted on space-available basis.  No entries will be accepted at any time without payment in full.  Those entering after the deadline will NOT be in the printed program.

Late Fees:  Entries will be accepted by the Organizers on a space-available basis after the February 10th deadline.  Each competitor will be assessed a $20 late fee, in addition to any entry fees collected. Those wishing to enter within five days of the event must do so in person during the competition weekend.  The NYDF office will be closed five days prior to the competition and will NOT be accepting any further requests for entries during that time.  Please note you must arrive well in advance of your event to see if there is space to accommodate your request. The Registrar will honor such requests only if there is time and space permitting in the program.

Cancellations and Refunds:  All cancellations must be received in writing to the NYDF office prior to the event in order to qualify for a refund.  Cancellations received a minimum of 30 days in advance of the event will be refunded by mail 30 days after the event (less a $75 administrative fee).  Cancellations received within 30 days of the event will be issued a “credit” (less the fees mentioned above). Credit is good for the following year’s competition only and, if not used, is forfeited.  Cancellations during the event are not eligible for refund or credit.  Canceled entries and entry “credits”, as well as scholarship vouchers, are NOT transferable to another competitor.

Redeeming Vouchers:  All NYDF vouchers won in 2011 must be received, along with your entry forms and payment, in order to be credited.  No vouchers will be accepted after the February 10th deadline or during the event.  Vouchers are non-transferable.

Payments:  No entries will be accepted or processed without payment in full.  Accepted methods of payment are: Money Order, Cashier’s Check, Studio Check, or Cash.  No personal or studio checks will be accepted after the deadline or during the event, and will be returned if received.

Video/Cameras:  No cameras (including cell phone cameras) or video are allowed in the Ballroom. There will be an NDCA-sanctioned professional videographer/photographer available for hire throughout the event.  The only exception to this rule will be during the junior Am/Am events on Sunday morning.  We will have video/passes for sale at registration and these must be purchased prior to any of Sunday morning’s junior events.  This does not include Pro/Am juniors. Please note that juniors dancing in other sessions will need to purchase video/pictures through the professional videographer/photographer provided. We have negotiated a special junior price with both vendors.

Publicity: In the event television taping, videos, and/or pictures are taken during the Festival, it should be understood anyone present in the Ballroom may be taped, videoed, and/or photographed. All said tapes, videos, and/or photographs remain the sole property(ies) of the Organizers.  Everyone attending the NYDF Festival consents to being taped/videoed/photographed, and waives any and all further claims or rights to the tape(s), video(s), and/or photograph(s).

NDCA Rules:  All persons attending the NYDF are obliged to adhere to the “official rules” as set forth by the NDCA. Please review the new NDCA Silver category requirements, as outlined in the NDCA Rule Book.

Liability:  No responsibility can be assumed by NYDF, Edward Simon, the Roosevelt Hotel, the NDCA, or any of their employees, affiliates, or assigns, for theft of personal property or personal injury sustained while in attendance. All in attendance, in any capacity, agree to do so at their own risk.
